Job Description

Responsible to: Head of Facilities

We are looking for a friendly and efficient Facilities Coordinator to help keep our school running smoothly. In this role, you will play an important part in supporting the Estates Manager and the estates team, ensuring our school facilities are well-maintained and safe. You will also work closely with the wider school community, ensuring everything is organised, proactive, and effective.

Key Responsibilities:

  • Be the primary point of contact for the Estates Department for staff, contractors, suppliers, and delivery personnel.
  • Manage mail and deliveries by receiving, sorting, and distributing post through the internal mail system, ensuring everything reaches the right people efficiently.
  • Coordinate and monitor the implementation schedules of the maintenance team, gardening team, and cleaning staff to ensure all areas are clean, functional, and well-maintained.
  • Work closely with academic staff to support their needs related to classroom and facility usage.
  • Ensure classrooms and teaching facilities are set up and maintained to support educational activities.
  • Provide support to the Purchase Department by assisting in the selection of suppliers and the submission of orders for housekeeping and estates supplies.
  • Generate reports, gather data, and maintain records related to the Estates Department.
  • Help maintain the school’s health and safety records, ensuring all legal requirements are met.
  • Lead the team in supporting school events and activities, ensuring all logistics, from setup to breakdown, are handled efficiently.
  • Act as the primary point of contact for event-related facility needs, working closely with event organisers to ensure smooth operations.
  • Coordinate staff schedules to ensure adequate coverage for all events, including occasional weekend and after-hours work.
  • Supervise housekeeping and maintenance staff, providing guidance, support, and training as needed.
  • Ensure staff members understand their roles in supporting the school’s day-to-day operations and events.
  • Encourage teamwork and create a positive working environment, ensuring clear communication across the team.

Additional Notes:

  • You may be required to support other offices in case of emergency or whole-school events.

  • You may also be required to work additional hours to cover ad-hoc events.

Qualifications/Experience:

  • A Bachelor’s degree in a related field is a plus, but not required.
  • At least 2 years of experience in administration, preferably in an educational setting.
  • Excellent organisational and project management skills.
  • Ability to work effectively with diverse teams and manage multiple tasks simultaneously.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office products.
  • Fluency in Thai and English (TOEIC 450).
  • Willingness to be flexible and work outside normal working hours as required.
