JOB PURPOSE:

The Admissions Assistant (2) will support the admissions team by enhancing the parent experience journey from initial inquiry through enrolment. This role involves actively engaging with prospective parents, providing necessary information, and ensuring seamless data transfer to the internal administrative system, and assuring compliance of documents by coordinating with other key departments. 

 

KEY RESPONSIBILITIES:

 

  • Serve as the first point of contact for prospective parents, providing information about the admissions process. 

  • Respond promptly to inquiries via phone, email, and in-person visits. 

  • Assist in the preparation of admissions materials and welcome packets.

  • Transfer data from Salesforce to Isam (internal school system) assuring accuracy data in both systems. 

  • Ensure all data is maintained with high accuracy and confidentiality (registration and medical. Forms, in addition). 

  • Follow up with prospective parents to collect missing or additional information required for the admissions process. 

  • Ensure the school adheres to NAE business rules in relation to data capture and management.

  • Maintain regular communication with prospective parents throughout the admissions process. 

  • Provide updates on application status and next steps. 

  • Follow up on submitted applications to ensure all required documents are received. 

  • Monthly updates on students' accident insurance.

  • Managing student contracts with the school, including follow-up on contractual obligations. 

  • Support the Admissions Manager in refining the list of families eligible for re-enrolment, identify high risk families and support the execution of any mitigation strategies that are put in place to minimize the risk of these families not re-enrolling. 

  • Assist the admissions team with clerical duties including filing, copying, and organizing documents. 

  • Prepare reports and maintain records as needed. 

  • Collaborate with other departments to ensure a smooth transition for new students.
