Multi-Department Administrative Assistant
Position Title: Multi-Department Administrative Assistant

Reports To: Administration / School Leadership Team
Position Summary
The Multi-Department Administrative Assistant provides administrative, organizational, and operational support across different areas of the institution. This role is responsible for coordinating daily administrative tasks, supporting communication processes, managing documentation, and assisting with operational needs to ensure efficient workflow and collaboration between departments.
The position requires strong organizational skills, adaptability, professionalism, confidentiality, and the ability to manage multiple priorities in a dynamic environment.
Key Responsibilities
Administrative Support
- Manage calendars, appointments, meetings, and scheduling coordination.
- Prepare reports, presentations, correspondence, and meeting minutes.
- Organize and maintain digital and physical filing systems.
- Follow up on tasks, requests, approvals, and deadlines.
Communication & Coordination
- Support communication between departments, staff, parents, vendors, and external stakeholders.
- Coordinate meetings, interviews, activities, and administrative logistics.
- Assist with internal communication and follow-up processes.
- Respond to emails, calls, and inquiries in a timely and professional manner.
Operational Support
- Assist with day-to-day operational and administrative processes.
- Support onboarding and documentation processes for new employees.
- Coordinate office supplies, purchasing requests, and administrative logistics.
- Assist with event coordination and institutional activities.
Documentation & Data Management
- Maintain accurate records, trackers, databases, and spreadsheets.
- Ensure confidentiality and proper handling of sensitive information.
- Support reporting and document preparation as required.
General Office Support
- Support overall office organization and administrative efficiency.
- Assist visitors and provide general administrative support when needed.
- Perform additional administrative duties as assigned.
Qualifications & Experience
- Associate’s Degree or Bachelor’s Degree in Business Administration, Management, or related field preferred.
- Minimum of 2 years of administrative support experience.
- Experience working in fast-paced or educational environments is an asset.
