Position Summary / Job Goals:
The IB Diploma Programme Coordinator provides strategic, instructional, and operational leadership for a large and academically rigorous IB Diploma Programme serving over 200 students at The Village School. The Coordinator ensures full alignment with the standards and practices of the International Baccalaureate Organization, while fostering a culture of academic excellence, integrity, and global-mindedness within a private international school setting. As a member of the High School Leadership Team, the IB Coordinator is responsible for maintaining programme coherence across all IB subjects, safeguarding the quality and consistency of assessment practices, and ensuring that students are fully supported in meeting the requirements of the IB Diploma. The Coordinator works closely with department heads, teachers, counselors, and student support teams to monitor student progress, drive continuous improvement through data analysis, and strengthen instructional practice aligned with IB philosophy and Approaches to Teaching and Learning.
The goals of the position are to:
- Ensure full compliance with IB policies, procedures, and evaluation requirements.
- Maintain and elevate academic standards across all IB subject areas.
- Support teachers in delivering rigorous, inquiry-based instruction aligned with IB criteria.
- Monitor and improve student performance in internal and external IB assessments.
- Provide clear communication and transparency to students, parents, and faculty regarding IB expectations and outcomes.
- Lead continuous programme improvement based on IB subject reports, results analysis, and strategic planning.
- Safeguard the integrity, reputation, and long-term strength of The Village School’s IB
- Diploma Programme within the Houston and international education community.
Qualifications / Training:
- IB DP teaching experience (minimum 5 years preferred)
- IB workshop certification (Cat 2 or 3 preferred)
Experience / Knowledge:
- Prior experience as IB Teacher
- Preferred: Experience as Coordinator or Assistant Coordinator
- Experience in a private or international school setting

Major Responsibilities and Duties:
Programme Leadership & Strategic Vision
- Lead and continuously improve the IB Diploma Programme (DP) and IB Courses pathway.
- Ensure alignment with IB philosophy, mission, and Approaches to Teaching and Learning (ATL).
- Maintain compliance with IB standards, policies, and evaluation requirements.
- Lead IB evaluation and authorization processes.
- Develop annual IB improvement plans using data and subject reports.
Academic Oversight & Quality Assurance
- Monitor curriculum alignment across all IB subjects.
- Oversee internal assessment processes and standardization.
- Ensure consistency and rigor in predicted grades.
- Analyze IB results, component scores, and examiner feedback to drive improvement.
- Support departments in responding to IB subject reports and trends.
- Work with the Core team to oversee Extended Essay, TOK, and CAS coordination structures.
Staff Development, Instructional Leadership & Sharing Best Practice
- Coordinate IB teacher onboarding and ongoing professional learning.
- Facilitate IB workshop registrations (Category 1, 2, 3) and track faculty training compliance.
- Lead collaborative planning, moderation, and cross-department standardization sessions.
- Coach teachers on IB assessment criteria, rubric interpretation, and feedback practices.
- Identify, and disseminate high-impact instructional practices within and across subject areas.
- Create structured opportunities (learning walks, exemplars, calibration sessions, data dialogues) for teachers to observe, reflect on, and replicate effective strategies.
- Foster a professional culture in which strong practice is shared, scaled, and embedded across the IB programme.
Student Experience & Academic Monitoring
- Monitor student progress toward diploma requirements.
- In collaboration, coordinate academic intervention for at-risk IB students.
- Work with counselors and learning support to ensure accommodations are implemented appropriately.
- Lead IB student information sessions and parent workshops.
Assessment & Examination Management
- Coordinate IB exam registration and compliance.
- Ensure proper conduct of IB examinations.
- Maintain accuracy in IBIS systems and reporting.
Communication & Community Engagement
- Serve as primary liaison between the school and the IB Organization.
- Communicate programme updates to staff, students, and parents.
- Support marketing efforts highlighting IB results and university placements.
Data & Systems Management
- Maintain accurate IB student records.
- Track diploma and course candidate statistics.
- Monitor grade distributions and essential skills trends.
- Lead post-results analysis meetings with departments.
