Administration Manager

The Administration Manager oversees the day-to-day administrative operations of the school, ensuring a high standard of service delivery, compliance, and support across all academic functions. The role involves managing administrative staff, developing efficient systems and processes, and supporting the smooth functioning of the school.

Key Responsibilities

Key Responsibilities

Administrative department operations

  • Supervise and coordinate the work of the administrative team
  • Develop and implement office procedures to ensure efficiency of the administration team 
  • Lead a customer service culture within the administration team through policies, training and ongoing review
  • Oversee the accuracy of online management information systems.

Academic admin, data and systems

  • Create and maintain a culture of support for the academic staff
  • Develop and maintain procedures which support academic staff with administrative tasks
  • Ensure accurate usage of our online systems - iSAMS, Schools Buddy, Managebac, Seesaw, OneDrive, MS TEAMS, etc.
  • Ensure deadlines are met on creating reports and documents for SLT and academic teams
  • Ensure reprographics and educational resources are delivered on time to the education teams.

Whole school administration

  • Ensure whole school administrative tasks are proactively achieved through efficient processes
  • Work collaboratively with other department leads to support with required administration tasks
  • Oversee document control, document filing, and coordination with regional and global Nord Anglia teams

Line management

  • Provide leadership, supervision, and performance management to administrative staff, including conducting regular one-on-one meetings, appraisals, and feedback sessions.
  • Create a nurturing culture that supports team members through professional development and training
  • Ensure effective delegation of tasks, workload distribution, and maintenance of high service standards across the administrative team.
  • Address personnel issues such as conflict resolution, absenteeism, and performance concerns in line with school policies and HR procedures

Resourcing and PO processes

  • Collaborate with SLT on the resourcing needs of the school and its departments
  • Follow the school PO process to ensure the school has the resources needed for academic and non-academic department needs
  • Proactively manage a budget and ensure the administration team have the resources needed to do their roles to the highest standard
  • Review the data and trends with colleagues to ensure financial accuracy and identlfy efficiencies for the future

Communication and Stakeholder Engagement

  • Serve as a key point of contact for staff, parents, and external vendors regarding administrative matters
  • Coordinate administrative support for school events, leadership meetings, and community engagement initiatives
  • Be a model of good practice for communication and engagement with key stakeholders – create the culture of serving the needs of the school to the highest level

Core Requirements

Essential:

  • Minimum of 3–5 years in an administrative or office management role.
  • Proven experience in managing a team and leading administrative operations.
  • Experience of customer relations best practice
  • Experience with budget planning and procurement.

Knowledge & Skills

  • Strong working knowledge of office management procedures and systems.
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Management Information Systems (MIS).
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and prioritization abilities.
  • Familiarity with health & safety and data protection regulations.
