The Executive Assist will enable the Managing Director for the Americas (and other key leaders including the regional leader for LATAM) to make the absolute best use of their time and energy by relentlessly aligning their time and attention to near- and long-term priorities, by anticipating needs in advance and by removing work and communications and reporting from their plate where feasible.

 

Responsibilities

  • Calendar management primarily for two executives
  • Manage all travel arrangements in real time - troubleshooting and anticipating back up plans where needed
  • Respond to emails and document requests on behalf of executives
  • Support regular standing meetings by compiling reports and anticipating arrangements

 

Qualifications

  • Bachelor's degree or equivalent experience
  • Has effectively managed the schedule of a busy executive across multiple time zones
  • Is hyper organized planner with right-sized systems
  • Has a track record of working productively in highly fast paced and shifting environments while anticipating several steps ahead of what’s required
  • Excellent at managing up: proactively gets what is needed from leaders they support
  • Has effectively managed the travel of a busy executive across multiple time zones
  • Can effectively manage across multiple workstreams without dropping balls
  • Is levelheaded and calm when plans change or fall apart
  • Demonstrates a strong attention to detail
  • Has a strong command of Office Suite exp Excel and PowerPoint
  • Good at proof-reading
  • Is a clear and professional communicator – visually and verbally
  • Exercises good judgment about what/when to prioritize and flag key issues
  • Has effectively managed confidential correspondence
