JOB DESCRIPTION
The Finance Assistant supports the Finance Department of the three H-Farm schools by managing financial data and providing operational assistance to both Accounts Payable and Accounts Receivable staff. The role ensures accurate processing of financial transactions, timely handling of documents and consistent application of finance procedures across the schools. The Finance Assistant works closely with the Finance Manager, payable and receivable colleagues, school administrators and external suppliers to maintain smooth daily operations.
The role assists the Accounts Payable function by helping process invoices, checking accuracy, verifying coding, confirming supporting documentation and preparing items for approval and posting. The Finance Assistant supports the team in monitoring outstanding invoices, tracking payment deadlines, maintaining records and assisting in resolving differences or errors with suppliers. Daily collaboration with school administrative staff is required to ensure information is complete and up to date.
For the Accounts Receivable area, the Finance Assistant helps register incoming payments, update customer accounts, monitor outstanding balances and assist in follow-up activities with families or partners when needed. The role contributes to maintaining accurate data related to tuition fees, services, transport, events and other billable activities. Coordination with internal teams ensures that billing information is aligned, consistent and processed on time.
A central part of the role is the management and accuracy of financial data. The Finance Assistant updates spreadsheets, systems and financial trackers, ensuring all entries are correct and complete. The role assists with reconciliations for suppliers, customers, petty cash, credit cards and bank accounts. Support is also provided to the Finance Manager during monthly and year-end closing processes, including preparing summaries and verifying account balances.

The Finance Assistant helps maintain organised financial records and supports compliance requirements by ensuring invoices, receipts, contracts and other documents are properly stored and accessible. The role prepares documentation for audits or internal reviews and supports the implementation of financial policies and procedures. Maintaining consistency across the schools is essential for quality and efficiency.
The role also provides backup support during peak workload periods or staff absences. This includes assisting with urgent invoice processing, payment preparation, data updates or parent and supplier queries. The Finance Assistant may contact suppliers, families or internal teams to clarify payments, request documents or confirm information, always maintaining a professional and service-focused approach.
Key skills for success in this role include strong organisation, accuracy, reliability, confidentiality and the ability to manage multiple tasks. The role requires good communication skills, teamwork, a proactive attitude and comfort working in a fast-paced, multi-campus environment. Strong numerical skills and confidence using finance systems, spreadsheets and digital tools are essential.
Typical qualifications include a diploma or degree in Accounting, Finance, Business Administration or a related field. Experience in finance support roles such as accounts payable, accounts receivable or general administration is preferred. Experience within a school or multi-entity environment is beneficial but not mandatory.
