The HR Coordinator supports the HR Manager and school leadership by ensuring smooth and efficient HR operations.
The role provides administrative, operational, and advisory support across recruitment, onboarding, employee documentation, payroll preparation, compliance, and day-to-day staff assistance. The HR Coordinator is a key point of contact for employees and contributes to maintaining a positive, well-organised and compliant HR environment.
Responsibilities include managing administrative tasks throughout the employee lifecycle, preparing employment contracts and amendments, maintaining accurate personnel files, coordinating probation periods, contract renewals and performance reviews, and ensuring all HR records comply with data protection requirements. The HR Coordinator supports recruitment by posting vacancies, managing candidate pipelines, arranging interviews, completing reference checks, coordinating safeguarding documentation and organising onboarding and induction for new staff.
The role prepares monthly payroll inputs such as absences, overtime and allowances, updates HR system data, tracks leave and attendance, and collaborates with Finance and Payroll teams to resolve discrepancies.
The HR Coordinator handles daily HR queries from staff, provides basic guidance on policies and procedures, and supports informal employee relations issues by preparing documents, scheduling meetings and keeping accurate records.
Safeguarding and compliance are core elements of the role. The HR Coordinator ensures all staff have up-to-date background checks and required certifications, tracks expiry dates, supports preparation for audits and inspections, and helps implement HR and safeguarding policies across the school. The role also coordinates mandatory and optional training, tracks completion, and assists in delivering development activities for staff.
The HR Coordinator contributes to HR reporting by preparing information on headcount, absences, recruitment progress and staffing changes. The role supports HR projects such as system updates, wellbeing initiatives and communication of HR updates. Collaboration with Finance, IT, Facilities, Admissions, Academic teams and regional HR is essential to ensure smooth operations.
Key competencies for this role include strong organisation, attention to detail, accuracy, discretion, clear communication, problem solving, service orientation and the ability to work in a fast-paced environment. The position requires confidence using HR systems, time and attendance tools and general office software.
Typical qualifications include a degree in Human Resources, Business Administration, Psychology or a related field, along with two to four years of experience in HR coordination or an HR generalist role. Experience in recruitment, onboarding, payroll preparation, personnel administration and compliance processes is highly valued.
